Note: The security profiles of individual users determine the visibility of sensitive information. Consequently, you may not have access to all the information in this Job Aid. Furthermore, some changes may require approval from an HR Partner or another department to complete the process. 

 

  1. Log in to your Workday account. 

 

  1. The Global Navigation Sidebar is located on the left side of the Home page and remains pinned as you navigate through Workday. It features categorized navigation, allowing you to hover over each category to preview its items.  If your view looks different, you may be using the alternative navigation setting. Both views contain the same menu options, but they may appear in slightly different layouts 

 

  1. The Search Box, located in the center of the Home page, allows you to quickly find people, tasks, reports, and business data you need to access.

Access Your Worker Profile Page 

Your Worker Profile page displays information about you, including your office location, phone number, and compensation. Sensitive information visibility varies depending on each individual user’s security profile.

Note: All instructions in this job aid start from the Worker Profile page. To access your Worker Profile page, select your Profile photo, and then select View Profile.

Add or Change Your Contact Information 

  1. Select the Contact tab from the menu on the left. The Contact subtab displays, as shown in the image below.

  1. Select the Edit button and Change My Home Contact Information to change your personal contact information. Within each section, select the Edit icon to change existing information, the Delete icon to remove existing information, or the Undo icon to revert to the last saved version. You can also select Add to add new information. Select within a field to edit. 

  1. Select Submit to save your changes. 

Add or Change Emergency Contacts 

  1. Select the Contact tab, and then select the Emergency Contacts subtab. 

  1. Select the Edit button. Enter or modify your emergency contacts. Your primary emergency contact has a priority of 1. For any alternate emergency contacts that you add, enter a priority number of 2 or greater. 

  1. Select Submit to save your changes. 

Modify Your Personal Information 

  1. Select the Personal tab.

Note: You may need to select the More button to display additional menu options. The Personal Information subtab displays.

  1. Select the Edit button. Enter or modify your personal information. 

  1. Select Submit to save your changes. 

View Your Identity Paperwork 

  1. Select the Personal tab, and then select the IDs subtab. You may not be able to edit this information. 

  1. Select the Documents subtab. Select the document links to view or download documents. Select the Add button to attach documents to your profile. Depending on your security permissions, you can select Edit to update documents or Delete to remove documents. 

Change Your Legal Name 

  1. Select your Actions button. 

  1. Select Personal Data > Change My Legal Name. 

  1. Enter your new information, including any required information. 

  1. Select Submit.

  1. A window will open confirming the submission. Select the To Do button and then Submit to submit proof of your name change on the Documents subtab. Otherwise, select View Details and then Done to submit later. 

Change Your Preferred Name 

You can elect to add a preferred name, which will display within Workday instead of your legal name. 

  1. Select your Actions button, and then select Personal Data > Change My Preferred Name. 

  1. Clear the Use Legal Name As Preferred Name checkbox. 

  1. Enter your new information. 

  1. Select Submit. 

Add or Change Your Photo 

  1. Select your Actions button, and then select Personal Data > Change My Photo. 

  1. Select the Select files button to locate, upload, and crop your image. Otherwise, drag and drop your image directly into the Attachments section from your local drive. You can crop and adjust the image by dragging the corners to the desired specifications. The portion of the image within the unshaded circle represents how your photo will display on your Worker Profile page.  

  1. Select OK to finalize your photo. 

  1. Select Submit to save your changes. 

  1. Depending on your organization’s configuration, you may need further approval before the change takes effect.

Note: The supported file formats depend on your organization’s configuration. Typical formats include PNG, JPG, and GIF. 

View and Edit Your Social Networks 

  1. Select your Actions button, and then select Personal Data > Social Networks. 

  1. Select Edit to change an existing network, Delete to delete an existing network, or the Add Social Network Account button to add a new network. You can maintain up to three networks. 

  1. To add, select the social network. Then, enter the username or web address that you want to add. You can only add one account for each social network. 

  1. Select OK to save your changes. 

View Transaction History 

You can view your transaction history to review information such as benefit enrollment or dates when personal data changed. 

  1. Select the Job tab. 

  1. Choose the Worker History subtab. Your business process history displays. 

  1. Select the View Worker History by Category button. Workday organizes the data into different tabs to make it easier to review.

Change a Business Title 

  1. Select your Actions button, and then select Job Change > Change My Business Title. 

  1. Enter an effective date and the proposed business title. 

  1. Select Submit.

Note: Depending on your organization’s security settings, this may route for approval. 

Upload My Experience 

  1. Select the Summary tab. 

  1. In the Upload My Experience section, select the Upload button.

  1. In the Upload File area, select the Select files button to browse for a file. You can also drag your file into the region.  

  1. Select OK. 

  1. From the Review Professional Profile Upload page, use the Guided Editor or the Summary section to validate and refine your uploaded data. 

  1. Select Submit. 

 

Mobile 

Modify Your Personal Information 

  1. From the Home page, select Profile from the menu at the bottom of the screen, as shown in the image below.

  1. Select Personal > Personal Information. 

  1. Select the Edit button. 

  1. Select the Edit icon next to the section that you want to update. You can update personal information such as marital status, gender identity, and preferred pronoun. This gives you more control over how to share your personal information with your organization. 

  1. Select Submit to save your changes. 

Change Your Contact Information for iPhone and iPad 

  1. From the Home page, select Profile from the menu at the bottom of the screen. 

  1. Select Contact > Contact. 

  1. Select the Edit button, and then select Change My Home Contact Information. 

  1. Select the Edit icon next to the section that you want to update. When you finish editing the information, select Done and Close. 

  1. Select Submit to save your changes. 

Update Your Profile Photo for Mobile 

  1. From the Home page, select Profile from the menu at the bottom of the screen. 

  1. Select your Profile photo. 

  1. On iPhone, select Camera, choose from Library, or Import Attachment to take a new photo or upload an existing photo. On Android, select the Camera icon and then Camera, Gallery, or File browser to take or upload a photo. 

  1. Take or select a photo. Drag the image to adjust. The portion of the image within the unshaded circle represents how your photo will display on your Worker Profile page. 

  1. Select Done to finalize your image. Depending on your organization’s configuration, you may need further approval before the change takes effect.
